Getting started with Atrium

Atrium is the workplace of Bene.be on top of Google Drive. Your documents live in Drive. Atrium shows which folders you have and where they are.

Five minutes, once.

  1. A Google account on your work address

Do you already use Google on this address, through Gmail or Google Workspace? Then this step is done.

If not, create a Google account on your current address. Gmail is not needed. At the email address, choose your existing address. This also works with a Microsoft address.

  2. Sign in to Atrium

Sign in with Google, on the address Bene.be invited. You see your clients, projects and folders, with a link to each folder.

Atrium only asks Google for your email address. Never access to your Drive.

  3. Working in Drive

Your folders are also in Drive, under "Shared with me". Five rules keep them usable:

    • One file per document. For a new version, overwrite it. Drive keeps the history.
    • No v1, v2 or "final" in a file name.
    • A document belongs in one folder. If another level needs to see it, move it.
    • Do not share loose files. Ask Bene.be for anyone who needs access.
    • Send a link, not an attachment.

How we work

Each client has a Run side and a Change side. Run is what runs today, and how we improve it step by step. Change is what we change, in projects with fixed phases, grouped in programmes. A project has a PM, a sponsor at the client and a team. In Atrium you see per client your projects, who is on them and which folders are for you.

Who sees which folder

Each project has four folders. Whoever is higher sees everything below. You only see the folders Bene.be gave you.

  • 1 Bene.be. Bene.be only: working notes and preparation.

  • 2 Owners. Owners and the board: strategic files.

  • 3 Steering committee. The steering committee: budget, steering notes and decisions.

  • 4 Project. Everyone working on the project: briefing, designs, planning and minutes.

Working on a single project only? Then you see only folders 3 and 4 of that project, or only folder 4.

What keeps running after the project lives in Run. There, folder 3 is called Management and folder 4 Operations.

Not working?

Atrium says your address is not linked
Sign in with the address that received the invitation. Still not working? Ask your point of contact at Bene.be to link you.
Your company blocks signing in with Google
Some companies do not allow signing in with Google to external apps. Ask your IT department to allow Atrium. Atrium only asks for your email address.
You do not see a folder in Drive
A new folder appears within a quarter of an hour. Atrium shows whether it is still being prepared.

Your data

Atrium keeps your name, email address, organisation and language, your job title, phone and calendar link if you fill them in, your level per client, your links to projects, your last sign-in and an audit of every change to your access. Bene.be needs these to show who has access to which folders. You can see them yourself in Atrium. Everyone working for the same client sees your name, job title and contact details, so everyone knows who to turn to. Deletion is possible on request, within a month.
